Acceptable Use Policy
This Acceptable Use Policy (“Policy”) describes permitted and prohibited uses of the AvSuite Pro platform, website, applications, software, and related services (collectively, the “Services”). AvSuite Pro is operated by Nicholl Aviation LLC. By accessing or using AvSuite Pro, you agree to comply with this Policy. This Policy applies to flight schools, aviation organizations, administrators, instructors, students, pilots, employees, contractors, and other authorized users.
1. Appropriate Use of AvSuite Pro
AvSuite Pro is designed to assist aviation organizations, flight instructors, students, and pilots with administration, organization, documentation, scheduling, evaluation, progress tracking, and related flight-training activities. Users must use the Services lawfully, professionally, and consistently with aviation safety and the legitimate purposes of the platform.
2. Accuracy of Training Records
Users are responsible for the accuracy and completeness of information they enter. Users must not knowingly falsify flight or ground training records; record training that did not occur; falsify instructor evaluations, ratings, endorsements, flight times, or completion records; alter records to misrepresent qualifications or experience; misrepresent the identity of an instructor or student; backdate records for deception or regulatory avoidance; or otherwise cause AvSuite Pro to contain materially false or misleading aviation records.
AvSuite Pro does not independently verify user-entered information. Flight schools, instructors, students, and other users remain responsible for satisfying applicable FAA, organizational, insurance, and legal requirements.
3. AvSuite Pro Is Not a Substitute for Regulatory Compliance
AvSuite Pro is an administrative and training-management tool. It does not relieve any pilot, instructor, flight school, operator, or other person from responsibility for applicable laws, regulations, operating limitations, aircraft documentation, FAA requirements, or safe operating practices. AvSuite Pro should not be relied upon as the sole source for aircraft airworthiness, pilot or instructor currency, weather, aircraft performance, operational legality, regulatory compliance, airspace authorization, medical eligibility, endorsements, or a decision whether a flight may safely or legally be conducted.
4. Account Security
Users must protect their accounts and credentials. Users may not share credentials with unauthorized persons, impersonate another person, access another user’s account without authorization, obtain another user’s credentials, circumvent security measures, or use another person’s identity to enter or approve records. Suspected unauthorized access or security incidents should be reported promptly.
5. Unauthorized Access and System Abuse
Users may not interfere with, compromise, damage, or gain unauthorized access to AvSuite Pro or connected systems. Prohibited conduct includes bypassing access controls, unauthorized vulnerability scanning, introducing malware or harmful code, denial-of-service activity, exploiting vulnerabilities, unauthorized scraping or data extraction, or interfering with another user’s access. Security research requires prior written authorization from AvSuite Pro.
6. Student and User Information
Users may access, use, or disclose personal, educational, aviation, employment, and training information only for legitimate and authorized purposes. Users must not access records without authorization, disclose private information improperly, export records for improper purposes, use information to harass or exploit another person, or publicly distribute private training records or personal information without authorization.
7. Uploaded Content and Documents
Users must have the right or authorization to upload material. Users may not upload malware, unlawful content, fraudulent or intentionally falsified documents, infringing content, abusive material, personal information they are not authorized to possess or disclose, or unrelated material that creates security, storage, or operational problems.
8. Instructor Evaluations and Training Records
Flight instructors remain responsible for their professional judgment. AvSuite Pro tools, templates, standards, rating systems, curriculum references, and similar resources do not replace instructor judgment or regulatory responsibilities. An instructor must not record demonstrated knowledge, risk management, proficiency, competency, or completion unless the record accurately reflects the training and evaluation performed. Where AvSuite Pro provides “Not Evaluated,” “Not Applicable,” or similar options, instructors should use them when appropriate instead of assigning an inaccurate evaluation.
9. Aviation Safety
AvSuite Pro may not be used to knowingly facilitate illegal aircraft operations, flights by unqualified individuals, intentional regulatory violations, falsification of aviation records, intentional operation of aircraft known to be unairworthy, or other conduct creating an unreasonable aviation-safety risk. AvSuite Pro does not exercise operational control. The pilot in command and other responsible aviation personnel retain responsibility for safe and legal flight operations.
10. Harassment and Misconduct
AvSuite Pro may not be used to threaten or harass another person, engage in discriminatory or abusive conduct, impersonate another individual or organization, defraud another party, conduct phishing or deceptive activity, send abusive communications, or violate applicable law.
11. Commercial Use
Organizations may use AvSuite Pro for legitimate internal business and flight-training operations in accordance with their subscriptions and agreements. Users may not resell access without authorization, provide unauthorized third parties with access, reproduce substantial portions of the platform to develop a competing service, circumvent subscription or licensing restrictions, or misuse AvSuite Pro intellectual property.
12. Automated Access
Users may not use bots, crawlers, automated scripts, artificial intelligence agents, or other automated systems to circumvent access controls, create unreasonable system load, extract substantial data without authorization, access information belonging to other users or organizations, or violate subscription restrictions. Authorized integrations and APIs are permitted according to their applicable terms.
13. Reporting Violations
Suspected misuse, unauthorized access, security vulnerabilities, falsified training records, or other violations should be reported to support@avsuitepro.com.
14. Enforcement
AvSuite Pro may take reasonable action in response to violations, including warnings, feature restrictions, removal of prohibited content, suspension, termination, preservation of relevant records, or reports to appropriate authorities when legally required or reasonably necessary to address fraud, security threats, or unlawful activity.
15. Organization Responsibility
Organizations are responsible for users they authorize. Organizations should promptly remove or modify access when an instructor, employee, contractor, administrator, or other user no longer requires access.
16. Changes to This Policy
AvSuite Pro may update this Policy as the Services, laws, security practices, or operational requirements change. The “Last Updated” date will identify the current version, and material changes may receive additional notice when appropriate or required by law.
17. Relationship to Other Agreements
This Policy forms part of the terms governing AvSuite Pro and should be read with the AvSuite Pro Terms of Service, Privacy Policy, and any applicable Organization Subscription Agreement.
